How LEAD 360 collects, uses and protects personal data across the platform and its mobile apps.

1. Who we are
LEAD 360 is an event management platform developed and operated by LEAD Dynamics, a company based in the Kingdom of Saudi Arabia. LEAD 360 includes the Client Workspace web application, the LEAD Ops field-operations app, and the guest-facing experiences such as invitations, registration forms, badges, itineraries and surveys.
This policy explains how personal data is handled when you use LEAD 360, whether you are an event organizer, a member of an event team, or a guest invited to or registered for an event that runs on LEAD 360.
2. Our role for event data
Events on LEAD 360 are run by our clients, the event organizers. For guest data collected for an event, the organizer decides what is collected and why, and LEAD Dynamics processes that data on the organizer's behalf and under its instructions.
For data about the organizer's own users of the platform, such as account and login details, and for our own business operations, LEAD Dynamics decides how that data is used.
If you are a guest and have a question about why your data was collected for a specific event, you can contact the event organizer directly, or contact us and we will help direct your request.
3. Data we collect
The data processed depends on the event and on what the organizer configures. It can include:
Guest data
Identity and contact details, such as name, title, organization, email address and phone number.
Registration answers, guest category, accreditation status and badge details, including a photo where the event requires one.
Travel and stay details where the organizer manages them, such as flight information, hotel bookings and transport assignments.
Event activity, such as invitation delivery and responses, check-in and check-out times, and zones accessed.
Feedback you choose to give, such as survey and NPS responses.
Platform user data
Account details for organizer and event team members, such as name, work email, role and permissions.
Activity records kept for the audit trail, such as who changed what and when.
Technical data, such as device type, operating system, app version, IP address and error logs, used to keep the service running and secure.
4. How we use data
To deliver the event services the organizer has requested, including invitations, registration, accreditation, badging, check-in, access control, travel, accommodation and transport coordination.
To send event communications by email, SMS, WhatsApp or app notifications, as configured by the organizer.
To provide organizers with dashboards, reports and analytics about their event.
To secure the platform, prevent misuse, and keep an audit trail of actions.
To provide support, fix problems and improve the platform.
To meet legal and regulatory obligations.
We do not sell personal data, and we do not use guest data for our own advertising.
5. Mobile apps and permissions
The LEAD 360 mobile apps may ask for the following permissions. Each permission is used only for the feature described, and you can change it at any time in your device settings.
Camera, to scan QR codes on badges and tickets during check-in and access control.
Notifications, to send event updates such as session reminders and schedule changes.
Local storage, so field teams can keep working offline. Stored records are synced to the platform when the connection returns.
6. Sharing and disclosure
Personal data is shared only as needed to run the event and the platform:
With the event organizer and the team members it authorizes, according to their role-based permissions.
With service providers who help us operate LEAD 360, such as cloud hosting and message delivery providers. They process data only on our instructions and under confidentiality and security obligations.
With exhibitors or partners of an event, only where the organizer has enabled it, for example lead capture at an exhibitor booth.
With authorities where required by applicable law.
7. Where data is stored
LEAD 360 is hosted on Google Cloud in the Dammam region, inside the Kingdom of Saudi Arabia. Where a service provider needs to process data outside the Kingdom, for example to deliver a message to an international phone number, we take the steps required by applicable data protection law, including the Saudi Personal Data Protection Law.
8. Security
We protect personal data with technical and organizational measures appropriate to the events we run, including:
Tenant isolation, so each client's data lives in its own workspace.
Role-based access, with permissions enforced on the server.
A full audit trail of actions on the platform.
Encryption of data in transit, and single sign-on and multi-factor authentication for client teams where configured.
No system is completely secure. If we become aware of a breach that affects your personal data, we will notify the organizer, you and the competent authorities as required by law.
9. Retention
We keep event data for as long as the organizer's agreement with us requires, and for as long as needed to meet legal obligations. When data is no longer needed, it is deleted or anonymized.
10. Your rights
Subject to applicable law, including the Saudi Personal Data Protection Law, you have the right to:
Be informed about how your personal data is collected and used.
Access your personal data and obtain a copy of it.
Ask for inaccurate or incomplete data to be corrected.
Ask for your data to be deleted when it is no longer needed.
Withdraw your consent where processing is based on consent.
For event data, we will pass your request to the event organizer and support them in responding to it. You can also lodge a complaint with the competent data protection authority.
11. Cookies and local storage
LEAD 360 uses essential cookies and browser storage to keep you signed in, remember your language and keep the service secure. We do not use them for third-party advertising.
12. Children
LEAD 360 is designed for professional events and is not directed at children. Where an organizer runs an event that includes minors, the organizer is responsible for obtaining any consent required from a parent or guardian.
13. Changes to this policy
We may update this policy as the platform or the law changes. The latest version is always published on this page, with the date it was last updated.
